LINQM has been engaged by a client to help with a contract for an Administrative Assistant. This is a part time role of 30 hours per week.
Job Functions- Responsible for executing general administrative duties as needed to support the department management and staff.
Manage department schedules and calendar with attention to accuracy and detail; track and update monthly reports, ensure data accuracy; post announcements, enroll participants in various events/courses; provide departmental budget support, track invoices, charge backs and payments; file contracts and vendor agreements; complete and track purchase orders.
Provide backup telephone support; screen concerns and matters to minimize interruption.
Present good customer service and excellent phone etiquette to heavy incoming call volume. - Professionally greet visitors, determine nature of business and announce visitors to appropriate personnel.
Monitor visitors' access and issue visitor badges.
Receive packages and keep package area in an organized manner.
Skills: - Demonstrated high proficiency in and strong knowledge of Microsoft Office, Word and Excel (simple formulas)
- Demonstrated high proficiency managing several calendars, scheduling on behalf of those individuals
- Good communication and interpersonal relationship skills- Strong attention to detail- Adhere to all EHS rules and requirements and take adequate control measures in preventing injuries to themselves and others as well as to the protection of environment and prevention of pollution under their span of influence/control
Education: H.S. Diploma or equivalent required. Some college education or substantial related experience in lieu of required education with minimum 1 year experience, including working in a team and office environment.
